123nd STANYS Annual Conference (2018)


Welcome Exhibitors

At our Annual Conference, Exhibitors are companies, organizations, vendors ... that would like to make the most of the opportunity to meet, share information and network with teachers of science from across NYS.  To facilitate this we have made arrangements for three basic types of Exhibitors to participate in the conference.
  • Exhibitors that have a physical presence in our
    Exhibition Hall
  • Not-for-Profit Exhibitors that have a physical presence in our Exhibition Hall
  • Ad-Only Exhibitors that communicate using ads in our Conference Program or on our Conference App.

In addition there are opportunities to share science content and science teaching pedagogy by applying to:

  • Present a workshop (Presenter Proposals accepted until May 15, 2018)

  • Host a Maker Space Session, proposals accepted until May 15, 2018 (email proposal to presidentelect@stanys.org). See below .

CONFERENCE INFORMATION

LOCATION:
Rochester Riverside Convention Center  Rochester, NY

ATTENDANCE:
700 plus educators anticipated; these will include teachers (Pre K-College), state education department leaders, and administrators.

ONE OF THE HALLMARKS of the STANYS Annual Conference is the opportunity to network with representatives of companies and organizations that support educators and science education. In general, teachers do not get the opportunity nor the time to engage with knowledgeable sales reps, organizational reps and others in regards to the ever changing framework of  science  and related resources. 

Your participation in this year’s Annual Conference Exhibit Space will give our attendees an opportunity to learn about your company’s:

  • Advancement of scientific products / technologies aligned with the NYSSLS
  • Educational programs/activities for K-12 science teachers and /or students
  • Scholarships for high school to attend summer science workshops / research programs

Ad-Only Exhibitors should use the registration information/choices in the Exhibitor
Announcement flyer (p.1). 

We suggest that you view the worksheets or information that is provided before registering.

Registration Application

Registration (Application) to participate in the Conference will be only through an on-line form and payment will be by Credit Card, on-line.

Exhibitors and Ad-Only Exhibitors will use the same Registration link. (see below)

Not-for-Profit Exhibitors will use the Not-for-Profit On-line Registration Link.

  The Not-for-Profit on-line form will require a code which will be provided upon verification of 501c3 status.

FYI: EXHIBITORS HALL BOOTH 

Each booth is provided with a backdrop, side rails, a one-line booth identification sign (7”x 44”), one 6 foot undraped table, one folding chair, and a wastebasket. There is no charge for a wireless internet connection in the Exhibit Hall; hard wire connections are not available.  Additional booths are available.  Electrical connections are available.

In addition to Booths we have available:

  • Banner Ads, STANYS Conference App
  • Cover  Ads - full page, color (limited availability)

Not-For-Profit Exhibitors (501c3)

The Not-for-Profit on-line form will require a code which will be provided by email upon verification of 501c3 status

REGISTER EARLY:  We strongly suggest registering as a Conference Exhibitor before August 31, 2018 to be included in the Conference Program list of Exhibitors and to minimize cancellation fees.

Again This Year

Maker Space Sessions:  This year we are continuing to provide a Maker Space Area in the Exhibit Hall. A maker space area will house up to 5 maker space events for teachers for 2 hours on Saturday and 2 hours on Sunday.

Proposals (written paragraphs of <200 words) to host a Maker Space session can be emailed to presidentelect@stanys.org. Deadline is May 15, 2018.)

A Wine and Cheese hour will be held in the exhibit hall on Saturday & Sunday 3:00 – 4:00 p.m.


Exhibit Hours and “Visit the Exhibits” is a choice in each session so participants will have a dedicated time to visit the exhibit hall.

Safety Guidelines

1. Presenters, exhibitors, and keynote speakers should seek permission from STANYS for open flames or other potentially dangerous or hazardous demonstrations.

2. All local safety laws should be enforced by STANYS at their Annual Conference and at Section meetings, conferences, and workshops.

3. The STANYS Safety Committee incorporates the above safety provisions in the materials give to presenters and exhibitors.
